Patient information deserves careful questions.

Choosing practice software means understanding who can access information, how it is handled and what your clinic needs to put in place.

Set up access around each person’s role.

The system uses staff accounts and clinic memberships, with permissions for different roles. Review the access assigned to reception staff and practitioners, including anyone working across clinics. Revisit those permissions when someone’s responsibilities change or they leave.

Check the full service arrangement.

Ask for the data processing terms, hosting locations, backup arrangements and the providers involved in the features you intend to use. Payment, messaging, video and AI services may involve separate providers; their involvement should be clear before you enable them.

Agree how long records need to be kept.

Your clinic’s retention requirements depend on the records and the care you provide. Confirm how your policy will be supported, including exports, deletion and what happens when you leave the service.

Make patient-facing tools part of your setup review.

Check your forms, consent wording, communications and access arrangements. Give patients a clear way to contact the clinic when they need assistance.
